Office of the Registrar

The Office of the Registrar is the official record-keeper of the Northcentral University and is responsible for maintaining the accuracy and integrity of all student academic records. Additionally, the Office is responsible for a variety of assignments and services - both for students and internal constituencies. These responsibilities, assignments, and services are completed in compliance with institutional policies and standards as well as related stat​e and federal regulations. The Office provides a number of services including, but not limited to, reviewing, evaluating and determining basis for admission, record maintenance, enrollment and other student record verifications, grade change processing and FERPA compliance.​

University Policies


Withdrawal Information

Students have the right to withdraw from the University at any time. NCU team members who receive a student request to withdraw from the University will submit the request to the Office of the Registrar for processing on behalf of the student using the date they received the student’s request as the Request Date. If students are enrolled in a course at the time of withdrawal, the Office of the Registrar will use applicable Grading Policies & Procedures to determine the final grade of the withdrawn course.

Dismissal Information

Students can be dismissed from the University by an Administrative or Academic dismissal based on student circumstances. An Administrative dismissal occurs when a students violate the University’s ethical policies and standards including, but not limited to, the Student Code of Conduct and Academic Integrity policies, which can result in immediate administrative dismissal. Students who have been dismissed due to violation of the Student Code of Conduct or Academic Integrity policies, or due to any other legal or ethical matter, do not qualify for readmission to NCU.

An Academic dismissal will occur if students fail to meet the requirements of a degree program including official basis for admissions, minimum grade requirements, and satisfactory academic progress of study are subject to academic dismissal from the University.

Readmission Process

All students seeking to resume attendance at NCU are subject to readmission criteria. All students seeking to re-enroll at NCU must meet the basis for admission criteria in effect at the time of their readmission. This includes voluntary withdrawals in addition to dismissals for reasons such as non-attendance, non-payment, or violation of Satisfactory Academic Progress (SAP).

Students dismissed due to a violation of the Student Code of Conduct, the University’s Academic Integrity policy, or due to any other legal or ethical matters, do not qualify for readmission to NCU.

Current and former NCU students can order official transcripts through NCU’s transcript ordering portal. The transcript ordering portal provides a one-stop shop for transcript orders and payment.

Unofficial transcripts are processed within 48 hours and official transcript requests are processed in 7 – 10 days.

Unofficial transcripts are provided at no charge while official transcripts can be purchased for $12.50 per transcript.

Payment for official transcripts can be made by credit card via NCU’s transcript ordering portal.

An incomplete (I) grade extension may be granted at the discretion of a faculty member. The student will need to submit a completed form to the instructor. Students are eligible for up to three weeks in an 8‐week course or a maximum extension of up to 4 weeks in length in a 12‐week course.

Current and former NCU students may initiate a request to update official name by notifying the Office of the Registrar either by mail or by emailing registrar@ncu.edu.For a student to change his/her name, legal documentation is required of the new name and verification that he/she was previously known as the name in the Northcentral University records system.

The student must submit a minimum of two of the documents listed below, one from list a. Proof of Use of Former Name, and one from list b. Proof of Legal Change to New Name. At least one of the documents must have a date of birth and a signature.

a. Proof of Use of Former Name:

  • Former government ID card such as a driver's license, military ID, or passport.
  • A federally recognized Indian tribe's enrollment card or a US Bureau of Indian Affairs identification card containing the signature and photograph of the individual.
  • Previously-issued Social Security Card.

b. Proof of Legal Change to New Name:

  • Current, government-issued ID card such as a driver's license, military ID, or passport.
  • Current, valid Social Security Card with new name.
  • A federally recognized Indian tribe's enrollment card or a US Bureau of Indian Affairs identification card containing the new name, the signature and photograph of the individual.
  • A certified copy of the court order or a marriage certificate or a dissolution decree reflecting the new name in full.

Often PDF forms submitted to the registrar’s office will appear blank when they are received if the submitter does not save the changes to a new form. This is most common when the form is completed in a browser or on a smart phone/device. Make sure to save the completed form as a new PDF on your computer/device and submit it as an attachment to registrar@ncu.edu.

Curious About FERPA?

The Family Education Rights and Privacy Act of 1974 (FERPA) was designed to protect the privacy of student education records, thus limits as set on the disclosure of education and additional measures are needed to protect personally identifiable information. The Act covers all education institutions receiving financial aid funding and applies to all student education records identified as "official", including admissions records, academic records, and financial aid records.

​​Northcentral University (NCU) has an obligation to comply with and uphold the requirements of the Family Educational Rights and Privacy Act of 1974. NCU manages compliance with FERPA and related policies through the efforts of the institution's FERPA Compliance Program. The Program is dynamic, involving not only multiple policies and procedures, but also the commitment of leadership and the support of cross-functional departments, team members, and faculty to make the Program effective.

Students are able to submit a release form if they would like to grant authorization for NCU to release or rescind student educational information to an organization or individual. FERPA - Frequently Asked Questions

Yes, FERPA does contain some exceptions to the written consent rule. Those exceptions allow disclosure without consent:

  • To University officials (including third parties under contract) with legitimate educational interests
  • To comply with a judicial order or lawfully issued subpoena
  • To appropriate parties in a health or safety emergency in order to protect the student or others
  • To parents in cases of drug or alcohol violation when the student is under the age of 21
  • To the provider or creator of a record to verify the validity of that record (e.g. in cases of suspected fraud)
  • To organizations conducting research studies on behalf of the University, provided there is a written agreement between the University and the research organization
  • To officials at an institution in which the student seeks or intends to enroll or is currently enrolled

FERPA permits university employees to have access to student education records in which they have "legitimate educational interest." Such access does not require prior written consent of the student.

"Legitimate educational interest" can be defined as necessary for team members and faculty to carry out their responsibilities in support of NCUs educational mission. You can also think of legitimate educational interest as a "need to know" that is essential to carrying out your job responsibilities related to education.
Being a university employee does not constitute legitimate educational interest -- your need to know must be related to your job responsibilities in support of the university's educational mission. In other words, records should be used only in the context of official business in conjunction with the educational success of the student

FERPA permits each institution to define a class of information as "directory information." FERPA permits public disclosure of directory information without the student's consent.

Directory information is information contained in a student’s education record that would not be generally considered harmful or an invasion of privacy if disclosed. This includes a student's name, program of study, dates of attendance, course schedule and degree plan, degrees, certificates and awards granted including conferral date, honors and awards, current enrollment status (i.e., active/inactive, undergraduate year, and participation in activities officially recognized by NCU. We are required to annually notify students in attendance of what constitutes directory information. This notice must also provide procedures by which students can restrict Northcentral from releasing his/her directory information.

No. The only required disclosure of education records is to the student. All other disclosures, including those with student consent and disclosures of directory information are at the discretion of the institution

Non-directory information is any education record not classified as directory information. This is private information that must not be released to anyone, including parents of the student, without written consent from the student. This applies to all student records, whether or not directory information has been excluded. The University staff may access this information only if they have a legitimate need to use it in fulfillment of official duties.

Yes, students can submit a Directory Information Opt Out request to the Office of the Registrar to block the release of directory information without student consent.

  • Student name will not appear in the commencement program.
  • Verification of enrollment, graduation, or degrees awarded will not be provided to third parties, including potential employers and insurance companies.
  • No information will be released to any person on the telephone or via e-mail.
  • Requests for confidentiality are permanent until removed in writing by the student.
